Browser Second Factor
| Would you rather watch a video to find out about Browser Second Factors? |
Use this quick link to view an OneHealthPort Tutorial on Browser Second Factors |
| What is Browser Second Factor? |
Browser Second Factor is a new online security feature from OneHealthPort that provides additional protection against lost or stolen passwords resulting in unwanted access to personal health information and your organization's billing or other private information. OneHealthPort is offering Browser Second Factor to participating sites that are looking for enhanced security as a part of their HIPAA security strategy. |
| Why do I need to use Browser Second Factor? |
Browser Second Factor will allow us to recognize you as the true owner of your account by recognizing not only your login information but also your computer. If we don't recognize your computer, we will request additional information that is known only by you. |
| How does Browser Second Factor work? |
You will need to add extra security to each computer that you use when accessing OneHealthPort sites that require Browser Second Factor. This can be done easily from the Provision Browser Second Factor option on the Subscriber Administration page at: Click Here. Whenever you login from a computer you have added extra security to, you will automatically have additional protection, and will notice no difference in the way you login. However if you login from a different computer than the one you added security to, you will be asked for additional information in order to login.
Please note that if you use multiple browsers within the same computer you will need to add extra security to each browser separately. In order to do this you will need to log in with each browser and go through the steps to add extra security protection.
|
| How do you recognize my computer? |
When you add extra security to your computer, a secure cookie is placed on your computer. This secure cookie is unique, and when used in combination with your login information, creates a unique way to identify you to the OneHealthPort system. For every login attempt after you add extra security to one computer, this secure cookie is validated along with the login identification you normally enter. This secure cookie is only used by OneHealthPort to validate your identity and does not contain any personal information. |
| What will adding extra security protection do for me? |
Adding extra security protection to your computer allows us to recognize your computer along with your normal login information, which helps give you additional protection from unauthorized access to your accounts. If someone were to get your login information and try to access your account from their computer, they would not be able to gain access to the site because they would be asked for information that only you know. |
| Why am I asked for Browser Second Factor only at some OneHealthPort sites? |
OneHealthPort is making Browser Second Factor available for any participating site that wishes to enhance their login security. This is an optional way to increase security and each site will evaluate when or if they wish to require this extra login security at their site. |
| What can I do to make logging in easy? |
To make it easy to login to OneHealthPort sites that require Browser Second Factor, we recommend that you add extra security protection to each computer that you regularly use. Remember that until you add extra security to a computer, we will ask you for additional information that only you can answer before giving you access to the site. You will then have the option to add extra security to that computer, and avoid being asked for this extra information again. |
| How does Browser Second Factor protect me? |
Browser Second Factor allows us to know that it's really you logging into your account. We know it's you because we recognize your computer AND your login information. If we do not recognize your computer, then you will be asked for additional information that is known only by you. |
| Can I login from multiple computers and browsers? |
Yes, you can login from as many different computers and browsers as you like. If you login from a computer that you haven't added extra security to, you will be asked for additional information so that we can verify that it's really you. You will then have the option to add extra security to that computer, and avoid being asked for this extra information again.
Please note that if you use multiple browsers within the same computer you will need to enroll each browser separately. |
| Can I still login to my account from anywhere? |
Yes, the Browser Second Factor security feature does not prevent you from logging in from any computer. If we do not recognize the computer that you are using, we will simply ask for additional information that only you know before allowing you access the site. You can select the "temporary" cookie option for computers you do not plan to use more than once. |
| Why do I keep getting asked for extra information when I login from a computer that I have already added extra security to? |
This is probably happening because the secure cookie that was placed in your browser is getting deleted or you selected the "temporary cookie" option.
Some computers are set up to regularly delete cookies. Deleting cookies is a common method that Spyware blocker software uses to remove potentially risky
items from your computer. These solutions typically remove ALL cookies as a precaution, even though very few cookies are actually security risks. In order
to use the OneHealthPort Browser Second Factor security feature without being asked for additional information at each login, the secure cookie that we use
to identify your computer must stay within your browser. We recommend that you do not delete these cookies to avoid being asked for additional information at
each login. If your company regularly deletes cookies, we recommend that you select the Browser Certificate option. This option installs a certificate on
your computer which is not cleared like cookies can be. |
| What if I delete my cookies regularly? |
If you delete your cookies regularly and do not want to be asked for additional information at each login, we recommend that you select the Browser Certificate option.
This option installs a certificate on your computer which is not cleared like cookies can be. |
| I share my computer with someone who also uses OneHealthPort. Can both of us still login from the same computer? |
Yes. You can use the same computer to safely login to your individual accounts; you will not be able to access each other's information. This is because your secure
cookie is linked to your User ID and Password. There is no limit as to how many secure cookies can be installed on the same computer. Just remember to never share your User ID
or Password with anyone. |
| What if a user leaves the organization, how do we delete their cookies or certificates? |
The OneHealthPort administrator for your organization can suspend the user account and this will disable that users access from any computer. This is the most critical step in disabling a user account since this prevents all acess by that user regardless of the PC they use. The individual PCs can be cleared of Browser Cookies
by clearing that users browser cookie cache on any PC they stored cookies. Certificates usually require someone with administrator rights on the PC to clear a retired certificate. |

Duplicate Check Edits
| I get a message on the last step of registration
that says "Duplicate Found" What do I do now? |
If the TaxID you are attempting to register is already
registered, the system is designed to alert you and ask you to contact OneHealthPort so we can determine the best way to assist you. |
| Why would my TaxID already be in the system? |
There are a number of reasons your TaxID may already
be registered. Someone else in your organization may have
already registered the organization. A company you work
with closely (a billing service or management company)
may have registered on your behalf. Someone may have mistakenly
registered your TaxID because their number is close to
yours. |
| What do I do if I can't complete registration
because it says my organization may already be affiliated
with OneHealthPort? |
Contact OneHealthPort by calling 1-206-624-3128 ext 412
See next questions for specifics. |
| What if the TaxID already in the OneHealthPort
system is affiliated with an organization name that is
the same as mine (e.g., someone within my organization)? |
OHP will give you the administrator's name and contact
information so you can contact them to register you. |
| What if the TaxID already in the OneHealthPort
system is affiliated with an organization name that is
different than mine (e.g., with a billing service)? |
OHP will give you the registered company's name
and the administrator's name and contact information so
you can contact them to register you or release your TaxID so you can register it. |
| What if the TaxID already in the OneHealthPort
system is affiliated with an organization name that is
the same as mine (e.g., someone within my organization),
but the administrator identified is no longer with the
company? |
OHP will check to see if there are other administrators
in the organization or other active users that could be
promoted to an administrator and review what is needed
to do that. If there are no other active users, OHP
will review steps needed to free the TaxID so the company
can re-register and appoint a new administrator. |
| What if another organization has registered
my TaxID and I don’t know who they are? |
OHP will give you the registered company's name
and the administrator's name and contact information so
you can talk with the company to determine if they have
a legitimate use of your TaxID or if they registered it
in error. If it is an error, their OneHealthPort administrator
can remove your TaxID by faxing a letterhead request to OHP ofices. Once this is completed,
you can return to register your organization. |
| What if there is an organization that has my
TaxID, I don’t think it should and the administrator
from this organization won’t make the change? |
Contact OHP and we will investigate and work to
resolve the problem between the two organizations. |
What to do if your administrator leaves
| Our administartor left and we need to nominate some new users.
What do we do now? |
If you have other active OneHealthPort users, you can request that one of those users be promoted to the Administrator role. That
person can nominate new users and promote a user to administrator if needed.
Send a Letterhead fax to OneHealthPort business offices at 1-206-624-3168. Include on the Fax:
- Name and address of the organization
- Name and the UserID of the person you wish to have promoted
- A phone number or email contact if OneHealthPort has additional questions
- Someone in authority (other than the person being promoted) must sign the fax request.
|
| What if there are no other OneHealthPort users in our organization? |
You will need to re-register your organization with a new administrator. To avoid hitting a Duplicate TIN error you must do the following before you re-register your organization:
Send a Letterhead fax to OneHealthPort business offices at 1-206-624-3168. Include on the Fax:
- Name and address of the organization
- An explanationn that your administrator is no longer with the organization.
- Name of the administrator who is no longer available.
- TaxID you need to have released so you can re-register your organization.
- A phone number or email contact if OneHealthPort has additional questions
- Someone in authority must sign the fax request.

Passwords, User IDs and Secret Questions
| How do I select a password for myself? What are the restrictions? | When choosing your password, remember that you are responsible for remembering your password and you are also responsible for NOT sharing it with anyone or putting it where it could be compromised. Passwords are very serious business. Here are a list of password guidelines:- Passwords must be at least 8 characters long.
- Passwords should be difficult for others to guess.
- Passwords must contain at least one upper case letter, one lower case letter and one number.
- No special characters accepted currently.
- Passwords are case sensitive.
If you experience difficulties, contact OneHealthPort
Support by calling 1-800-973-4797 (toll free). |
| How do I reset my password? | If you know your current password or can correctly answer your secret question, you can use the "password reset" function to change your current password. It can be accessed at https://saml.onehealthport.com/TACS-AG/subscriberLogin.do. If you forget your password and wish to reset it, you can do so by using the "password reset" function and correctly answering the secret question you established during the registration process. If you answer the secret question correctly, you will receive an email with your activation code. If you fail to correctly answer the secret question, then you must see your administrator for a new activation code to restore the account. Following these password reset processes, you will receive an email notifying you that your password was reset. This will be sent to the email address we have on file for you.
If you experience difficulties, contact OneHealthPort
Support by calling 1-800-973-4797 (toll free). |
| How do I retrieve my user ID if I have forgotten it? | Contact your organization's OneHealthPort administrator. He or she can retrieve your user ID for you. If you are the administrator and do not remember your UserID, contact the OneHealthPort Support Desk. The Support Desk will ask a series of questions to verify who you are ebfore they can provide your UserID. |
| What is a "secret question," and how do I set it up? | A secret question is used as an extra security feature that backs up your password in case you forget it. The easiest way to prove your identity if you forget your password is to correctly answer your secret question, however you do need to set it up in advance. Once you get a new password (or remember your old one), you can set up your secret question online at https://saml.onehealthport.com/TACS-AG/subscriberLogin.do.
If you experience difficulties, contact OneHealthPort
Support by calling 1-800-973-4797 (toll free). |
| Why do I need an ID and password in order to use OneHealthPort? | Because you are accessing secure, private health information. HIPPA requires that this type of information is secured. IDs and passwords are a proven method for doing this. |
| If I change my name, will my user ID change? | No, your user ID will stay the same. |
| Will my password ever expire? | OneHealthPort does not routinely expire passwords. However, we do suggest that you change your password whenever you have a concern it may have been used by someone else. OneHealthPort also recommends you change the password once a year as a safety precaution. Many of the sites will display the Last Login Date as another method to help you verify no one else is using your password. If you see your login has been used when you were not at work, you can initiate a password change at any time for yourself. In order to change your own password, use the "For Subscribers" Login from the "Manage Your Account" page and select the "change password" function. |
| I have the correct ID and/or password but am unable to use my subscriber account | It is possible that your credential was suspended, which could happen if the role and affiliation data were missing from your information or you tried too many times to log in unsuccessfully. If this were the case, your credential would still be valid, it would just be suspended. You need to contact your organization's administrator who can reinstate you by providing you with a new activation code. Your credential could be revoked, in which case you need to contact your organization's administrator. Your credential may be expired. You need to contact your organization's administrator to re-nominate you. If you are unsure about which of these is the issue, you can check to see if your credential is functioning properly by going to https://saml.onehealthport.com/TACS-AG/subscriberLogin.do.

Contact OneHealthPort
Support by calling 1-800-973-4797 (toll free). |
| How do I log out? | There are basically two ways to "log out." The most secure way is to close your browser when you have completed your work on the participating sponsor web sites. Remember to do this when you are done working for the day as well as every time you leave your terminal. Additionally, our service will automatically expire your login information after a specified period of time and you will need to log-in again. DO NOT LEAVE YOUR BROWSER OPEN AND UNATTENDED. |
| I share my computer with another person. How do we manage logging in and out? | It is important to remember to log out (close the browser) completely after each session. If the other person is already logged in, you will need to close their browser to log out for them, then reopen the browser to log in for yourself. Do not share your User ID and passwords. |
| What web browsers can I use to access OneHealthPort? | The OneHealthPort service will work with Internet Explorer 5.01 and Netscape Navigator 4.75. Other Web browsers may not be compatible or may not be supported at all. WebTV does not work with OneHealthPort. If you are having problems, it is also good to make sure your Internet service provider is not down. |

Partner Services Questions
| Why is OneHealthPort offering new services? |
Many people in the health care community have asked
OneHealthPort to extend the advantages of our trusted
community and secure single-sign-on by offering additional
business and clinical services. |
| How does offering these services support OneHealthPort's
mission? |
OneHealthPort uses secure portal technology to support
and accelerate the exchange of business and clinical information
within its trusted community. Initially, OneHealthPort
concentrated on providing simplified and secure access
to the web sites of major local health plans and hospitals.
Now, using the same password, subscribers can also register
for and access other services that simplify and improve
work flow. |
| How does OneHealthPort select new services? |
New services are selected based on the needs expressed
by the local healthcare community. The first new services—E-prescribing,
online laboratory & radiology results, and online
claims submission—were offered in response to OneHealthPort's
participation in a healthcare community survey process
sponsored by the Washington Healthcare Forum. The "What's
Possible Project" interviewed a variety of health
plans, physicians, hospitals and other groups to gain
a better understanding of how best to improve efficiency
and effectiveness. Based on these suggestions, OneHealthPort
focused on Internet based services that can be quickly
and easily adopted at a low or no cost to the provider
community. |
| What is OneHealthPort's responsibility when
a provider registers for a service through OneHealthPort? |
OneHealthPort's contract with the service provider facilitates
access to our trusted community and obligates OneHealthPort
to supply security and marketing support. The service
provider agrees to operate according to the requirements
of the trusted community. Providers who sign up for any
of the new services will sign separate agreements with
individual companies who provide the services. |
| Is there an additional fee for using OneHealthPort
if I register for additional services? |
Subscribing to OneHealthPort's security service is completely
free to current and new subscribers. There is no cost
for your digital ID. Some of the new additional services
offered through OneHealthPort are free while others will
require you to pay a fee. As we determine what types of
services providers are interested in using, we will continue
to add both free and fee-based options to OneHealthPort's
site. |
| How can I offer suggestions to OneHealthPort
about types of services that would be helpful to my practice? |
We welcome your comments and suggestion. If you have
ideas for other programs, please contact OneHealthPort's
President Rick Rubin at Rubin@onehealthport.com. |
